Who we are

Ralotech Rental Services is a service of RALOTECH LTD, a company registered in England and Wales (company number 17539238), of 27 East Crescent Road, Gravesend DA12 2AR. You can reach us at accounts@ralotech.co.uk. In these terms, "we" and "us" mean RALOTECH LTD, and "you" means the person who makes the request.

What we do

We arrange chauffeur-driven vehicle hire. We act as a booking intermediary and coordinator: we take your request, find an operator who can carry it out, send you a quotation, handle the booking communications and collect payment where the quotation says so.

The vehicles and professional chauffeurs are supplied by independent licensed transport operators. Every booking is subject to the operator's availability, licensing and insurance. We do not own or operate a fleet and we do not employ the chauffeurs. The operator for your booking is named in your quotation.

We currently arrange two vehicle types: the Range Rover LWB and the Mercedes V-Class. A particular vehicle is never promised until your booking is confirmed.

How a booking works

  1. You send a request on this website. It is saved and given a reference, such as ER-2026-000123.
  2. You can continue on WhatsApp, where a message with your reference, dates, vehicle type and numbers is ready to send. You can also write to us by email, quoting the reference.
  3. We check availability with operators and send you a written quotation. It states the total price, the amount due now and the terms that apply to the booking.
  4. You decide whether to accept. Nothing is payable until you accept the quotation.
  5. When you accept, we send you a secure payment link on WhatsApp for the £75 reservation.
  6. Your booking is confirmed only after the operator has accepted it and we have confirmed it to you in writing. The confirmation includes the operator's details.
  7. The operator provides the service on the agreed dates.

A request is not a booking

  • A request, a reference, a quotation or a payment link is not a confirmed booking.
  • Paying the £75 reservation does not guarantee availability. A booking exists only once we have confirmed it in writing.
  • If, after you have paid, the booking cannot be confirmed, we tell you straight away and either offer an alternative or refund what you paid for that booking.

The £75 reservation and payment

  • This website takes no payment and never asks for card details. The "Reserve now for £75" option sends a request; the payment itself is made through a secure link we send you on WhatsApp after you have accepted a quotation.
  • How the £75 is treated, including whether it is credited against the final price and when it is refundable, is stated in writing in the quotation you receive before you pay.
  • When and how any remaining balance is due is also stated in the quotation.
  • Payments are processed by an authorised third-party payment provider. We do not see or store your full card details.

Prices and our fees

  • The price is the one in the quotation you accepted, and it covers what the quotation lists. Anything extra, such as waiting time, extra stops or extra days, is charged only as the quotation describes or as you agree in writing beforehand.
  • The price includes our fee for arranging and coordinating the booking. Part of what you pay goes to the operator for the transport and part is kept by us for our services. We do not add a separate fee that is not shown in the quotation.
  • RALOTECH LTD is not VAT registered, so quotations do not include VAT.

Your responsibilities

Please give accurate dates, times, locations, and passenger and luggage numbers, and tell us promptly if anything changes. Passengers must follow the chauffeur's reasonable safety instructions. The operator may refuse to carry anyone whose behaviour puts people or the vehicle at risk.

Changes and cancellation

Changes and cancellations are handled under the terms in the quotation you accepted. Our cancellation policy explains how to ask for them and what happens if an operator cannot provide the service.

Who is responsible for what

  • We are responsible for arranging your booking: handling your request accurately, passing the correct details to the operator, sending you the quotation and confirmations, and dealing with any payment we receive with reasonable care and skill.
  • The operator is responsible for performing the transport: the vehicle and its condition, the chauffeur, the licences and insurance needed for the journey, and the safe carriage of passengers and luggage.

If something goes wrong with the journey, tell us and we will take it up with the operator for you.

Passenger safety and insurance

  • The operator is the carrier. During the journey, passengers, their luggage and belongings are carried by the operator and covered by the operator's own hire and reward insurance.
  • Any claim for injury, loss or damage arising from the journey, the vehicle or the chauffeur is a matter between the passenger and the operator and its insurer. We are not the carrier and do not insure the journey.
  • Each booking has its own operator. When your booking is confirmed, we send you the operator's name, licence details and insurer, and we will help you make a claim if you need to.
  • This does not affect our liability for our own negligence in arranging the booking, as set out under Liability below.

Liability

  • Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot be excluded or limited by law. This includes your rights under the Consumer Rights Act 2015, such as the right to have services carried out with reasonable care and skill.
  • We are not responsible for delays or failures caused by events outside our reasonable control, such as road closures, accidents or severe weather. If such an event means a service is not delivered, you are refunded what you paid for the part not delivered.
  • Subject to the points above, our liability for our own arranging services is limited to the price you paid for the booking concerned.
  • Your statutory rights are not affected.

Complaints

If you are unhappy with anything, email accounts@ralotech.co.uk or message us on WhatsApp, quoting your reference. If the complaint is about the journey itself, we raise it with the operator and keep you informed. Independent consumer advice is available from Citizens Advice.

Changes to these terms

We may update these terms. The terms that apply to your booking are the ones in force when you accepted your quotation, together with any terms stated in that quotation.

Law

These terms are governed by the law of England and Wales, and the courts of England and Wales can deal with any dispute. If you live in Scotland or Northern Ireland, you may also bring proceedings in your local courts.
